08.01 Inload-Outload

It’s important to be able to Inload and Outload data.

Inloading Data

  • LibCode can inload cataloguing data from USMARC formatted files.
  • The most obvious use for this being the inload of data downloaded from the SCIS online cataloguing database (Inloading USMARC).

This is mainly used to inload SCiS Web Cataloguing Data

  • Select Utilities > Inload-Outload > Inload USMARC Records
  • Locate the file to be inloaded, highlight it and click OK.
  • You will be shown how many records were appended at the bottom of the Utilities screen.
  • If there is less than 10 records to be inloaded you will not necessarily see the progress meter on the screen.  Always check the total number of appended records at the bottom of the screen.
  • Should you accidentally inload the USMARC file more than once, or you’re not sure if the inload worked, open the data entry module and select SCIS / Edit.  Check the list of resources at the bottom of the screen.  If there are double ups it is easier to purge all of the unedited records if there are a large number rather than sifting through the list and editing one of each title.

To purge unedited records:

  1. Backup LibCode Suite (just in case a mistake is made…)
  2. Go to Utilities > Update > Catalogue > Update
  3. Select SCIS Number from the first selection criteria area
  4. In both the low value and the high value enter # (all inloaded SCIS records have this added to the front of the SCIS number)
  5. Click on the Apply button and check the number of filtered records displayed at the bottom of the screen.
  6. Using the scroll bar at the bottom of the screen locate the copies column and make sure all of the resources have a zero copy count.  (If any resource has a copy count it means that the # symbol was not removed during cataloguing.  Cancel out of the update and locate this record and remove the # symbol before proceeding.)
  7. If all records have a zero copy count click on the Purge button.
  8. When the records have been purged you can use your USMARC.dat file again and inload the SCIS data. (once this time…)

Outload USMARC Records allows users to export their library database for use with alternative programs.

To outload records:

Backup your LibCode Suite using all forms of backup options available.

Arrow

  1. Add your Filter Details, e.g. you may want to outload all Fiction titles.
  2. Type in the name you would like to give your file including the location eg C:CMEPlusESHS.dat
  3. Or click on the “…” to define the directory path and filename.
  4. Enter the Cataloguing source as described.
  5. If the alternate program requires a carriage return/line feed between each record tick this box. Click OK.
  6. The status of the Outload is displayed here.  Once the outload is complete to total of outloaded catalogue records are displayed.

  1. Select the type of outload you want to do here.
  2. Set the outload options as required here:
    • Include field names is useful so you can tell which field is which when you are ready to import the data into another database or spreadsheet… can always be removed later.
    • Include contents of any note fields gives you the chance to export Notes along with data if this information is required in your external destination.
  3. Use the Open button the locate the database table you want to export from.
  4. When you are ready to export data, click the Outload button.
