08. Utilities

The Utilities module is the heart of the LibCode Suite program and it is here that you protect and maintain your database.  The resource database would be one of the largest databases in your organisation costing thousands of dollars to replace.  For this reason you as the Librarian / Resource Manager need to become familiar with the functions within the Utilities module.

It’s important to be able to Inload and Outload data.

Inloading Data

  • LibCode can inload cataloguing data from USMARC formatted files.
  • The most obvious use for this being the inload of data downloaded from the SCIS online cataloguing database (Inloading USMARC).

This is where you do all your backing up and any restoring of data that may be required.

Below is a quick outline of good backing up procedures, for more information on any of the backups or restore click the links below…

Backup Outline

Backing up your database is a must and you should NEVER rely on anyone else to do it for you!!!!!

If your IT experts say “Don’t worry about it… we’ve got you covered” then just say “Thanks!” and do your own backups anyway. Things go wrong with automatic backups… if your daily backup fails in any way… call us and we’ll find out why!

What do we recommend?

If I was running the system I would do 3 backups every day I changed the database.

  1. Utilities > Backup-Restore > External Backup – and I would make a new folder everyday for my data by clicking the Add Date button on the External Backup screen. This sends only valuable data to an external drive. We suggest USB memory sticks are a solid choice. The Date folders mean that we can trace problems back and repair things that were unnoticed for a long time.
  2. Utilities > Backup-Restore > Alternate Backup – copies data AND software to a hard drive NOT on the server (local hard drive of main computer used for lending and returning… this is a network “failsafe” that can be used if server or network is down for a long time… Obviously it needs to be up-to-date AND you’ll need to know how to get the new data back to the Server copy when it’s up and running!).
  3. Utilities > Backup-Restore > Backup – does a system tidy up and makes backups within the working folder.

General Principles for data security…

  • Assume every time you turn off your computer that it will not work next time you try to use it!
    • Your computer is absolutely sure to fail. It’s not an if… it’s a when!
  • Several types of backup media should be used:
    • Server Hard drive.
    • Local Hard Drive.
    • USB drives, CD-R, CD-RW, DVD.
    • Get familiar with as many ways to backup your data as you can find… if you hear someone talking about a backup method you’ve never heard of… find out more! (Ring us if you like!)
  • Some form of backup archive should be kept.
    • It’s all very well to backup every day but if something goes wrong and you don’t notice for a month or two… do you have a long term backup policy in place that will allow us to rescue database details from months ago?
    • Single use CD-Rs are the best option for making backup archives… turn off the Multi-session feature of your CD burner, make the CD, Date it and store it… at least once a year! (Once a term is probably a better suggestion but my guess is you won’t do it that often).

This sounds a little weird but what it does is necessary to keep your database up to speed.  The Pack is built into the Utilities > Backup-Restore > Backup option and needs to be done everyday the database is used.

The Pack All will:

  • Remove any records marked for deletion (entries in Red) in the Thesaurus, Data Entry, Circulation.
  • Tidy up any unnecessary blank space in your database.

Alternatively you can choose to Pack only certain modules ie Circulation, Thesaurus and Catalogues.

This is part of the normal daily Utilities > Backup-Restore > Backup option.

Reindexing will ensure that the data and index files are in alignment.  If you have had a power dip or surge and find  ????? in fields or your data looks a little odd… a reindex of all files can often be the solution.

Bulk Editing – Updating…

LibCode has many features that allow for bulk editing.  Bulk editing is useful when exactly the same thing needs to be changed on several (perhaps thousands of) records.  It is not always possible to do bulk edits but it is certainly worth looking into if you have discovered an inconsistency, which may take many hours of record editing to correct.  Don’t forget to check out Bulk Editing – Using Buffer Files as an option.

Details that are often changed using the Bulk Editing function include:

Bulk updating is an extremely useful tool for quick data editing.  It is also very dangerous because you are actually changing information on the selected records.  Please do not become complacent of the dangers of the Bulk Update facility.  Good backups are your only chance if errors are made.

NEVER DO A BULK OR GLOBAL UPDATE WITHOUT BACKING UP YOUR DATA FIRST!!!

Within the Utilities module of the LibCode Suite you can view, print and save many different forms of reports.

There are all sorts of other reports available in LibCode via Circulation Reports, Data Entry Reports…

*** Don’t forget the Enquiry Module Reports and Data Entry Catalogue tab that has a Report Generator tucked in behind the display grid… you format the report by changing the data grid layout!

The Utilities module can provide the following reports:

  • Potential Cull Items List by Publication Date – Enquiry > Title and other searches > Range > Set the criteria to include a certain range of Publication Dates (Publ. Year is the field to select) as demonstrated below…

Basic description of Terms used in Customizing Software…

These tables need to be created prior to any data entry.  By entering this information into tables the chance of inconsistent data entry is minimised.

General Material Designation or Description pop-up table (GMD field)

Used to describe the type of a resource.

Only used for non-book resources.

Country

Contains a list of the possible country of publication so you can use this during data entry.

Department

Contains a list of the possible Departments that resources can be stored in so you can use this during data entry.

Site

Contains a list of the possible Sites that resources can be stored in so you can use this during data entry.

Location

Contains a list of the possible Locations that might be used during data entry

Depreciation Rate

Sets the percentage of depreciation for calculating current value of resources.

Loan Period Default

Used to set the loan period, which is entered automatically on new resources.

Can easily be changed on the Data Entry screen regardless of default.

Staff Extension

Used to automatically extend Staff loans.

Number of days entered here are added to normal resource loan period.

Reservation Expiry

Used to set a default number of days that Reservations will expire after (reservations are automatically deleted after a certain date…) see the Expiry date on the Reservations screen when you are actually reserving a resource for a borrower.

Loan Cut-off Dates

Ensures loans are not allowed to be due back past a certain date.

Can be used in conjunction with Staff Extension to eliminate Staff overdues.

Check for Overdues

When a loan is taken out by a borrower with overdues or an overdue is returned, a warning box is displayed or not displayed because of this setting.

Check Loan Notes

When a resource is returned any loan notes will automatically be displayed.

Most centres will want this option turned on.

Change Password

This is where you set three levels of system password (default is none).

Password is case sensitive.

Buffer File

Used to create a list of resource barcodes for future use eg bulk updating, culling, stocktaking.
